Overview

We are seeking a skilled and detail-oriented Xactimate Estimator to support its estimating operations on a full-time basis. This role is focused on producing accurate mitigation estimates from field-collected data, including scope notes, sketches, and photos, and requires someone who can manage a steady workload while pivoting immediately when an emergency job demands priority attention.

The ideal candidate brings hands-on experience producing restoration estimates in Xactimate, is comfortable working from scoped field data without hand-holding, and can deliver clean, accurate estimates under time pressure. Restoration is a fast-moving, high-stakes environment, and this person must be adaptable and focused: a reliable self-starter who takes ownership of their work and follows through without being chased.

Key Responsibilities****Estimate Production

• Receive scope notes, DocuSketch sketches, and field photos via Microsoft Teams and convert them into complete mitigation estimates in Xactimate.
• Prioritize and manage an active queue of estimates, pausing non-urgent work immediately when emergency jobs come in.
• Produce estimates that are accurate, clearly scoped, and consistent with documented field conditions.

Sketch & File Processing

• Import and work from DocuSketch sketches to develop ESX files for use in Xactimate.
• Organize and maintain estimate files and supporting documentation for each job.
• Flag missing or unclear field data before proceeding, rather than estimating around gaps.

Software & Systems

• Work primarily in Xactimate for all mitigation estimate production.
• Use Symbility as a secondary estimating platform as directed.
• Receive job assignments and communicate progress through Microsoft Teams.

Administrative & Operational Support

• Maintain organized records of completed and in-progress estimates.
• Support additional operational tasks as assigned during slower periods.
• Communicate clearly and promptly with the team on estimate status, questions, and completions.

Preferred Skills & Qualifications

• Demonstrated experience producing estimates in Xactimate for restoration or mitigation work.
• Experience working with U.S.-based restoration or insurance restoration contractors.
• Proficiency in Xactimate required; working knowledge of Symbility preferred.
• Comfortable working from DocuSketch sketches and field photo sets to build estimates independently.
• Familiar with Microsoft Teams as a primary communication and file-sharing platform.
• Comfortable using AI tools such as Claude or Perplexity to support estimate research, documentation, and communication.
• Able to shift priorities quickly in response to emergency job demands without losing accuracy on existing work.
• Excellent written and verbal English communication skills.
• High attention to detail and strong follow-through.

Nice-to-Have (Bonus Skills)

• Experience with insurance adjuster communications and estimate negotiation.
• Familiarity with mitigation scoping standards and line-item logic within Xactimate.
• Experience using CompanyCam for photo documentation review.
• Background in property damage restoration, water mitigation, or related trades.
• Exposure to Symbility in an active estimating workflow.
