Business Analyst - IT innovation

Context and objective of the mission

Join a dynamic IT Innovation team within a higher education environment focused on digital transformation and responsible AI adoption. The role acts as a central point across both operational and innovation tracks, owning and evolving business analysis, enablement, community management, and operational activities. The position operates within a flexible “liquid” team model with an 80/20 split between main and flex responsibilities, reporting to the Programme Manager IT Innovation.

Main responsibilities

1. Business Analysis & Engagement
• Act as the main contact for stakeholders across entities
• Track use case submissions, follow up on pain points, share best practices for maintaining domain knowledge, and coordinate readiness
• Write user stories to clarify requirements, shape operational requests, and support backlog intake
• Manage the planner by tracking and communicating roadmap, backlog, and priorities, and reviewing priorities regularly across entities
• Lead intake and triage of requests related to improvement, innovation, compliance, and enhancement
• Route backlog items, engage cross-entity problem owners, and structure new idea intake
• Manage adoption enablement activities, including hands-on support, and facilitate user onboarding

2. Measurement, Service Health, & Continuous Improvement
• Track, measure, and report service health metrics such as adoption rates, journey completion, incident frequency, and feedback scores

3. Community & Communication
• Own team communications for the broader organization community, including posts, information sessions, testimonials, content management, and ambassador community engagement
• Track adoption, manage the ambassador community, and promote active feedback sharing and success stories

4. Event Management
• Organize and support regular AI enablement events at organization scale, such as student hackathons, information sessions, and workshops
• Coordinate logistics, stakeholder engagement, outcomes and follow-up, and integrate findings into team operations

5. Product Operations
• Configure parameters in the no-code interface of AI tools
• Conduct basic maintenance and troubleshooting of product settings as part of a handover from the Product Owner

Secondary responsibilities

• Support pilot discovery and basic design or development work as needed
• Step into the adoption/support lead role during absences or peak periods

Profile sought

• Bachelor’s or Master’s degree in IT, Business, or a related field
• Proven experience in business analysis, project coordination, backlog and process management, stakeholder engagement, and user enablement
• Strong communication skills, with the ability to manage communities and lead adoption initiatives
• Familiarity with AI tools
• Awareness of accessibility, privacy, and data compliance in the AI domain
• Pragmatic, hands-on, results-oriented, and quick to learn
• Collaborative mindset, with the ability to align stakeholders and manage priorities across functions and entities
• Fluent in English and French
• German and Luxembourgish are considered an advantage
