Job Summary

Provide administrative and coordination support to project managers by maintaining purchase order systems, managing documentation and SharePoint records, generating reports and performance indicators, tracking incidents and preventive actions, coordinating meetings, and ensuring timely submission of project reports. The role requires strong organizational skills, data management capabilities, and proficiency in Microsoft Office and SharePoint.

Key Responsibilities

• Maintain and update PO processing tools (CPM, IPCS, Shopping Cart).
• Manage SharePoint document libraries, archiving and purging outdated records.
• Generate reports, dashboards, and business indicators.
• Organize department meetings and prepare review materials.
• Track incidents, preventive actions (PA), and project metrics.
• Consolidate Best Known Methods (BKMs) from project managers.
• Develop and maintain supplier/contractor PO tracking lists.
• Follow up on weekly reports and project documentation.

Requirements

• Diploma in any discipline.
• Mandarin-speaking ability is mandatory (spoken and written) to effectively communicate with Mandarin-speaking clients.
• Minimum 1 year of relevant administrative, project coordination, or reporting experience.
• Good knowledge of Microsoft Office, SharePoint, and reporting/analysis tools.
• Strong English communication skills.
• Independent, detail-oriented, and able to work effectively in a team.
